Privacy Notice
Last updated: 22 August 2026
This notice explains how Takuya Koichi (trading as ErgoSched) ("we", "us") handles personal data in connection with the ErgoSched application. We act as the data controller for the personal data described below.
What we collect and why
- Account data (email address, password hash, sign-in provider) — to create and secure your account and let you sign in. Legal basis: performance of our contract with you.
- Scheduling content (event titles, notes, times, categories, subcategories and workstreams you create) — to provide the calendar, reporting and analytics features. Legal basis: performance of our contract.
- Subscription and trial records (subscription status, plan, billing period dates, and the trial start/end date associated with your email address) — to manage entitlement and prevent repeated free trials. Legal basis: contract and our legitimate interest in preventing abuse.
- Technical data (IP address, device and browser information, error and usage logs) — for security, fraud prevention, diagnosing faults and improving the product. Legal basis: legitimate interests.
- Support correspondence — to answer your questions. Legal basis: legitimate interests.
Payment card details are never collected or seen by us; they are handled entirely by Paddle.
Who we share it with
- Service providers / subprocessors — cloud hosting, database and authentication infrastructure that run the Service on our behalf.
- Paddle.com, our reseller and Merchant of Record, for the sale of subscriptions, payment processing, subscription management, invoicing and tax compliance.
- Professional advisers (legal, accounting) where necessary.
- Authorities where we are required to do so by law.
We do not sell your personal data or your scheduling content.
International transfers
Our providers may process data outside your country, including outside the UK and EEA. Where that happens we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses.
Retention
We keep account and scheduling data for as long as your account exists, and delete or anonymise it within a reasonable period after account closure. Trial records tied to an email address and records required for tax, accounting or legal purposes are kept for as long as needed for those purposes.
Your rights
Subject to applicable law, you may request access to your data, correction, erasure, restriction of processing, portability, or object to processing; where we rely on consent, you may withdraw it at any time. If you are in the UK or EEA you also have the right to complain to your supervisory authority. We respond to requests within one month.
Security
We apply appropriate technical and organisational measures, including encryption in transit, hashed credentials, and row-level access controls so that each account can only reach its own data.
Cookies
We use strictly necessary cookies and local browser storage to keep you signed in and to operate the checkout. We do not use advertising cookies. You can clear or block this storage in your browser, but the Service will not function correctly without it.
